Thrive with Nic is a women’s nutrition coaching business based in the UK, focused on helping women build healthier habits through coaching and education.  Depending on how you interact with us, we may collect:

• Identity Data: Name, email address, contact details.
• Health & Lifestyle Data: Information you provide in questionnaires (e.g. dietary habits, goals, health conditions).
• Payment Data: Processed securely by our payment provider (we do not store full card details).
• Technical Data: IP address, device type, browser type, app usage data (via cookies or analytics tools).
• Marketing & Communications Data: Your preferences for receiving updates from us.

 Some data may be collected automatically (technical data), some provided directly by you (questionnaires/forms) and some gathered from third party integrations. We will only ask for health information that is relevant to providing nutrition coaching services.

When you use the Thrive with Nic app (powered by Passion.io), both Thrive with Nic and Passion.io act as joint data controllers for your personal data.

• Thrive with Nic decides what content to share, what data to collect from you, and how that data is used in the context of our coaching services.
• Passion.io provides the platform, gathers data from you for technical and operational purposes to ensure the secure delivery of services and to improve app systems, traffic and  activity. Please update your account information and it something's incorrect please make the necessary changes. With your permission, Passion.io may send you emails about app updates and services.

This means both Thrive with Nic and Passion.io share responsibility for safeguarding your data. You can read Passion.io’s Privacy Policy here.

 We securely share limited personal data with trusted third-party providers who act as data processors:

• GoDaddy - website hosting and management.
• Mailchimp & Zapier - email communication and customer relationship management.
• Typeform - client questionnaires and feedback surveys.
• Google Analytics - website and app performance tracking.
• Meta (Facebook & Instagram) - marketing and community engagement.

These providers only process your data on our instructions and are required to keep it secure.

Passion.io, our app service provider, may use your data to identify and fix issues in our service and uncover any unlawful use. As part of this process they may transfer data outside of the UK/EEA. They follow the law and may share information with authorities for legal reasons:

• To prevent, investigate or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of their Terms of Service or any other agreement related to the Services, or as otherwise required by law
• To conform to legal requirements or to respond to lawful court orders, subpoenas, warrants or other requests by public authorities (including to meet national security or law enforcement requirements).

Under UK GDPR, we process your personal data based on the following lawful bases:

• Contract: To deliver coaching services you sign up for.
• Consent: When you opt-in for marketing.
• Explicit Consent: when you provide health information.
• Legitimate Interests: To improve our services and communicate relevant updates.
• Legal Obligations: To comply with applicable laws.

We will only keep your personal data for as long as necessary to deliver our services, comply with legal requirements, and resolve disputes. Health data provided during coaching will be deleted or anonymised within 12 months of the end of your programme unless you request otherwise. 

Our services are not intended for children under 18 years of age, and we do not knowingly collect personal data from children.

• Withdraw consent at any time (where consent is the basis for processing).
